ROLE SUMMARY

The Grants Program Coordinator will be responsible for coordinating and managing the Grants Program of ProVeg. They will oversee the grant application process, review proposals and support the wider grants team and intervention experts. The Grants Program Coordinator will work closely with the Grants team and intervention experts to ensure that the organisation's grant-making aligns with its mission and goals.

  • Department: International Operations.
  • Location: Remote work or working from one of our ProVeg offices.
  • Hours: 32-40 h per week.

Supporting Finance team with Grantmaking Financial Administration

  • Work with Finance Team to ensure the management of all grant funding administration and grant funding workflows is maintained.
  • Support grantmaking due diligence and other tasks including sanctions checks, agreement checks, IRS checks, tax requirements; liaise with Finance Department during financial audits or as needed; support grantees with tax documents and other documents as needed.

General Grantmaking Administration & Program Support

  • Support the grant application process, including advertising and promotion, application forms, and guidelines.
  • Review and evaluate grant proposals to ensure that they meet the organization's criteria and objectives.
  • Prepare grant agreements and manage the grant disbursement process, including monitoring grantee compliance with grant requirements.
  • Maintain accurate records of grant applications, proposals, awards, and other relevant information.
  • Develop and maintain positive relationships with grantees, providing support and guidance as needed.
  • Develop and implement processes for monitoring and evaluating grantee performance and impact.
  • Liaise with intervention experts and other internal departments as needed including IT, Design, and Website teams.
  • Provide regular reports to the Grants team, intervention experts and other stakeholders on the progress of the grant program.
  • Stay current with grant-making trends, policies, and best practices.

Communications & Events

  • Maintain website, ensuring it’s kept up to date with interventions, resources, important dates and other details important for current and future grantees.
  • Creation of documents or content relevant to the Grants Program, including donor proposals, annual reports, newsletters, website content, and more.
  • Support the organisation of in-person and online events and capacity-building programs for Grantees (incl. domestic or international travel as needed).

Wymagania

  • Bachelor's degree in a relevant field such as business administration, nonprofit management, or public administration.
  • At least three years of experience in grant management or a related field.
  • Strong organizational, analytical, and project management skills.
  • Excellent communication skills, both oral and written.
  • Ability to work collaboratively and build relationships with stakeholders.
  • Experience working with databases and grant management software.
  • Knowledge of grant-making best practices, regulations, and compliance requirements.
  • Ability to work independently and manage multiple projects simultaneously.
  • Commitment to the organization's mission and goals.
  • Enthusiasm to work with international vegan advocates and strong cross-cultural sensitivity.
  • Alignment with ProVeg’s mission and motivation to support the vegan movement.
  • Occasional travel will be necessary.
