The Operations Director is accountable for ensuring ACE has talented staff — with diverse skills and perspectives — and for providing them with the tools and environment that sets them up to deliver results and feel like they belong. You’ll also be responsible for optimizing how we work, so that we sustainably and effectively work towards a world where more people help more animals.

  • Reports To: Executive Director
  • Hours: Full time; must be routinely available from 8–10 am Pacific Time
  • Salary: 90,772 USD annually
  • Location: Remote
  • Paid leave (vacations and holidays): 30 days per year

Engagement, satisfaction, & culture — 20%

  • Encourage staff feel included and can contribute ideas or share concerns regardless of their position or individual characteristics
  • Monitor and encourage engagement and satisfaction
  • Monitor and encourage our culture to represent our guiding principles
  • Act as Designated Person for issues around respect in the workplace
  • Facilitate the forming of a committee to ensure the principles of diversity, justice, inclusion and equity are embedded in our operations

HR — 40%

  • Review policies and standard operating processes for equity, compliance, accuracy, and readability
  • Oversee and develop equitable compensation and benefits plans
  • Oversee payroll and benefits administration
  • File tax, insurance, and compliance paperwork as needed for all countries where we have staff
  • Optimize international employment structures for equity, efficiency, risk, and cost
  • Manage recruitment, hiring, onboarding, termination, and offboarding process
  • Document management

Performance Support — 10%

  • Develop plan for equitable learning and growth opportunities for staff, including mentorship and training
  • Manage regular reviews process
  • Facilitate annual work plan development
  • Assist supporters with performance improvement plans for their team
  • Provide training to all staff as needed

Supporting staff — 5%

  • Support our Project Facilitator

Operations — 15%

  • Ensure we have the systems, tools, and technology to optimally and securely support our fully remote work environment
  • Plan retreats that strengthen collaboration, engagement and strategy
  • Facilitate quarterly OKR and KPI setting
  • Monthly staff meeting coordination
  • Support logistics

Strategy — 10%

  • Contribute to organizational direction
  • Evaluate organizational middels for culture and growth
  • Analyze opportunities for optimizing operations
  • Develop volunteer and fellowship program

  • You understand HR compliance and can review our policies and processes accordingly
  • You are highly conscientious and have attention for detail
  • You have social insight and ability to support a variety of learning and working styles
  • You think critically and are willing to question the status quo to improve our impact
  • You can logically organize information
  • You can design and implement systems and processes
  • You treat confidential information with integrity
  • You have experience leading and supporting others to reach their potential
  • You give feedback that supports people in their growth
  • You are comfortable being accountable for managing payroll and benefits
  • You have experience building an inclusive and engaged working environment

Preferred qualifications/skills

  • You have experience mediating conflicts

  • Knowledge of grantmaking
  • Familiarity with Salesforce, asana, google office products

At Animal Charity Evaluators, you are expected to take vacation and it will be frowned upon if you work when you are sick. We use paid parental and family leave when we need it. We work when and where we’re most productive, and are reimbursed for the equipment we need to do our job.

Application process

Step 1 – by May 28: Fill out the application questions below and complete the mini work task emailed to you
Step 2 – early June: Top candidates will be invited to complete a series of paid work tasks
Step 3 — min June: Top candidates will be invited to take part in an interview (conducted by video call)
Step 4 — late June: ACE will make a final decision and notify all remaining applicants

All applications will be processed in strict confidentiality and applicants will be anonymous to the hiring committee until the interview stage.
